Terms of Service & 30-Day Refund Policy

1. Acceptance of Terms

By registering for, logging into, or using the StayForge SaaS platform ("StayForge", "the Service"), you agree to be bound by these Terms of Service. If you are entering into these terms on behalf of a company or other legal entity (such as a short-term rental management business or independent co-hosting agency), you represent that you have the authority to bind such entity to these terms.

2. Description of Service & Scope

StayForge provides a zero-migration operational overlay and standalone PMS-Lite built for short-term rental co-hosts and property managers across portfolios of 1 to 100+ properties. Features include housekeeper task scheduling, Gemini Vision AI photo checklist audits, automated smart lock access code provisioning (via Seam/Jervis integrations), Airbnb/Vrbo search ranking analysis, PriceLabs 2-way dynamic pricing sync, in-room WiFi rebooking CRM, and co-host accounting splits with 1-click QuickBooks Online owner statements.

3. Subscription Pricing & Sliding Volume Tiers

StayForge is billed on a recurring monthly subscription basis using our sliding volume per-property pricing model published at getstayforge.com/pricing:

1 Property: $20/month.
2–5 Properties: $15 per property/month (e.g., $75/month for 5 properties). All 9 platform modules are included.
6–10 Properties: $12 per property/month.
11–20 Properties: $10 per property/month.
21+ Properties (up to 100+ Properties): $8 per property/month.
Smart Lock Sync Add-On ($6/lock/month via Seam): Direct hardware PIN code automation via Seam is an optional $6/lock/month add-on. If your smart locks are already connected through your existing PMS (such as Hospitable, Guesty, or Hostaway), this fee is $0 (waived).
Proration on Additions & Deletions: Adding properties mid-cycle is pro-rated for the remainder of the current billing cycle. If you remove individual listings mid-cycle while keeping your account active, your adjusted property count rate takes effect on your next scheduled renewal invoice.
Month-to-Month Flexibility: Plans have no long-term contract lock-in. You may cancel at any time in 1 click via the Stripe billing portal inside Settings.

4. Third-Party Integrations & API Limitations

StayForge integrates via official OAuth and API connections with Airbnb, Hospitable, Hostaway, Guesty, Streamline, PriceLabs, Jervis Systems, Seam, and QuickBooks Online. We do not control third-party uptime. StayForge is not liable for service disruptions, synchronization delays, data transfer errors, or locked-out guests caused by changes, rate-limits, or outages on these third-party platforms.

5. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, STAYFORGE AND ITS PARENT ENTITIES SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR PUNITIVE DAMAGES, INCLUDING BUT NOT LIMITED TO LOST REVENUES, BOOKING CANCELLATIONS, PROPERTY DAMAGE, LOCKOUT DISPUTES, OR FINANCIAL RECONCILIATION ERRORS IN QUICKBOOKS. OUR TOTAL LIABILITY FOR ANY CLAIMS UNDER THESE TERMS IS LIMITED TO THE TOTAL SUBSCRIPTION FEES PAID BY YOU TO STAYFORGE IN THE THREE (3) MONTHS IMMEDIATELY PRECEDING THE CLAIM.

1. Information We Collect

To operate StayForge and sync your short-term rental operations, we collect and store only the minimum operational data required:

Client Account Info: Names, email addresses, company portfolios, encrypted password credentials, and billing details processed securely via Stripe (PCI-DSS Level 1).
Property & Listing Details: Property names, locations, booking calendars, and scoped OAuth access tokens synchronized from Airbnb or your connected PMS.
Housekeeping Metadata: Housekeeper names, phone numbers, clean scheduling intervals, checklist states, and cleaning verification photographs.
Lock Credentials: Temporary smart lock PIN codes, lock states, and lock event logs provided by Seam / Jervis access integration interfaces.
Financial Ledgers: Read-only reservation payouts, cleaner fees, and expense transaction ledgers synced via QuickBooks Online OAuth 2.0 to generate owner statements.

2. How We Use and Share Information (Verified Subprocessors)

Your data is never sold or shared with advertisers. It is used solely to run your co-hosting dashboard and automate workflows across the following verified subprocessors:

Stripe: For PCI-compliant recurring subscription billing and instant 30-day refunds.
Twilio: For distributing SMS checkout checklists and cleaning alerts to your housekeeping team.
Intuit QuickBooks Online: For importing expense categories and reconciling owner splits and reservation payouts.
Seam / Jervis Systems: For provisioning time-bound guest PIN codes on physical smart locks.

Housekeeper & Cleaner Consent

It is your responsibility to obtain explicit consent from your cleaning staff before inputting their phone numbers and names into StayForge for scheduling SMS checkouts, checklist updates, and AI inspection checks.

3. Gemini Vision AI Clean Audits

StayForge utilizes the Google Gemini Vision API to analyze housekeeper staging photos. These photos are evaluated solely for turnover readiness (e.g., bed staging, towel placement, surface cleanliness). Staging photographs are processed over encrypted TLS connections and are never used to train public AI models.

4. 30-Day Data Retention & Deletion Guarantee

We retain your operational data and audit logs for as long as your workspace account is active. You may revoke PMS or QuickBooks OAuth tokens at any time from Settings. If you cancel your subscription or request account deletion at intel@guestdetective.com, all synchronized property data, OAuth tokens, and cleaner phone listings are permanently purged from our production servers within thirty (30) days.
